Receipt Transaction G/L Distribution
The Receipt Transaction G/L Distribution page allows authorized users to enter general ledger distribution information for a specific receipt. The G/L Distribution Maintenance option defined on the Payment Code page determines whether you can only view or change the G/L distribution information on this page.
To use the Receipt Transaction G/L Distribution page, follow the steps below:
- Go to Financial Management > Revenue Collections > Receipts to open the Revenue Collections Batch List page. The first time you access the Batch List page after logging in, the Select a Collection Station pop-up window displays where you must select a collection station to use when processing receipts. Click OK.
- On the Revenue Collect Batch List page, create or open a revenue collection batch with receipts attached.
- At the bottom of the page under the Receipt Number field, select a receipt in the list and click Distribution to open the Receipt Transaction G/L Distribution page for the receipt.
- The Receipt Transaction drop-down list contains the transactions, including the sales tax transactions, that created the distribution. The default entry is the first receipt transaction.
- The Payment Code, Amount, and Description display information associated with the distribution.
- The G/L Account is required. It contains the general ledger account to which the payment will be distributed. Only revenue accounts to which you have Revenue Accounting authorization are displayed. The sales tax transaction that was used in the creation of the distribution is included. If needed, click the Search icon (
) to search for a G/L account.
- Project is visible and enabled if the payment code assigned to the receipt transaction allows for project information. This field contains the project to which the receipt transaction general ledger distribution is associated.
- The Amount is required. It contains the amount of the transaction. The acceptable ranges of entry are -999,999,999.99 through -0.01 and 0.01 through 999,999,999.99. Zero is an invalid entry.
- The Due To/Due From Fund field contains the balancing fund to use if a Due To or Due From account is selected in the G/L Account field.
- Click Save to retain your selections if any changes were made.
Delete G/L Information
To delete a G/L distribution associated with the receipt, select the check box in the Delete column of the row for the G/L account you want to delete. The distribution is removed when you click Save.
